Agents often repeat the same responses to common issues. Macros let you automate standard replies or actions to save time. This article shows how to create, manage, and best use macros in Zendesk Support.
Steps / Procedure
Navigate to Admin → Objects and rules → Macros
Click Add macro
Define macro name, conditions, and actions
Name it clearly (e.g. “Password Reset Instructions”)
Optionally, set conditions limiting when this macro appears
In actions, set ticket fields, comment template, tags, status
Organize macros with folders / categories
Group macros by topic (e.g. “Onboarding”, “Billing”, “Technical”)
Use naming conventions for clarity
Train agents and monitor usage
Share top macros in training
Use analytics / macro usage reports to identify underused or outdated macros
Best practices / reminders
Keep macro comments short and editable by agents.
Avoid embedding too many ticket field changes in a single macro.
Periodically audit and retire macros no longer relevant.
